Job Summary:

The Administrative Assistant is responsible for assisting the Managing Director and Chief Operating Officer with all administrative duties including but not limited to schedule management, travel arrangements, preparing memos, invoices, Credit card expenses, data entry and filing, all other correspondence.

Essential Functions (Duties & Responsibilities):

  • Administers and coordinates travel, domestic and international, including car rentals, hotel reservations and dinner/meeting reservations and records minutes, as required.
  • Arranges, coordinates, and maintains Managing Director and Chief Operating Officer’s calendar.
  • Prepares and administers courier and freight shipping for domestic and international documents.
  • Provides general information, answers questions, and directs individuals to appropriate parties as necessary.
  • Orders and maintains all binding materials and supplies for proposals and documents for Managing Director and Chief Operating Officer to use in their presentations at high level meetings.
  • Obtains and assembles information for use by the department.
  • Prepares all correspondence.
  • Photocopies and scans information.
  • Works independently and within a team on various projects.
  • Organizes own schedule, sets priorities and ensures critical deadlines are met by self and other staff.
  • Meets and greets all the Managing Director and Chief Operating Officer’s visitors.
  • Monitors and ensures all Managing Director and Chief Operating Officer’s emails are seen and responded to in a timely manner.
  • Works closely with all other GLI jurisdictions to obtain necessary information to better assist Managing Director and Chief Operating Officer in their day-to-day work.
  • Assists other Directors with travel and expense reports and gains approval from Managing Director for all charges.
  • Prepares and reviews Managing Director and Chief Operating Officer’s credit card reports, and cash expense reports each month.
  • Attends GLI Roundtables and Gaming Shows, such as ICE, and acts as representative of GLI while greeting and assisting all attendees.
  • Keeps precise records and files for Managing Director and Chief Operating Officer, including all correspondence with all licensing jurisdictions.
  • Maintains supplies and food in Executive Conference room in preparation for Managing Director and Chief Operating Officer’s meetings daily.
  • Scans and maintains Managing Director and Chief Operating Officer’s business card database with all contacts from every meeting, show or event he attends.
  • Coordinates and schedules all employee reviews for Managing Director and Chief Operating Officer.
  • Other duties and special projects, as assigned.
  • Required Education and Other Credentials:

  • Secondary education degree (MBO+)
  • Experience may be evaluated and considered acceptable in lieu of the educational requirements, at the sole discretion of the Managing Director
  • Valid driver’s license
  • Required Skills/Experience:

  • 5+ years of experience in the administrative field.
  • Fluent in English
  • Moderate/Extensive knowledge of Microsoft Systems (i.e. Office, CRM, SharePoint, and others as required).
  • Computer skills including the ability to spreadsheet and word processing programs at a highly proficient level. (MS Office Word and Excel).
  • Experience with office administration.
  • Analytical and problem-solving skills.
  • Stress management skills.
  • Time management skills.
  • Frequent use of tact, discretion, initiative and independent judgment as well as ability to handle matters with confidentiality and professionalism.
  • Physical Requirements and Working Conditions:

  • Must have the ability to sit and work at a computer for extensive periods of time.
  • Must have the ability to speak on the telephone with clients/prospective clients for extended periods of time.
  • Must have the ability to communicate, both orally and written, with other members of the team and clients/prospective clients.
  • Must have the ability to handle and organize multiple projects and deadlines.
  • Must demonstrate a high degree of attention to quality, details, correctness, and deadlines.
